By booking YOU STUDIO, you agree to the following terms and conditions. Please read them carefully – they’re here to ensure everyone’s experience runs smoothly.
1. BOOKING & CONFIRMATION
1a. A booking is considered confirmed once we’ve received written confirmation from you via email, stating that you’d like to confirm the proposed dates. If confirmation is given verbally (e.g., over the phone), we will follow up with a confirmation email.
1b. Booking times start as per confirmed time and if a client is late, the start time remains the same. If the shoot or event overruns through no fault of YOU STUDIO the client is liable for overtime charges. A full shoot day counts up to a 10 hour day (08:00 - 18:00) and a pre-light/ build is an 8 hour day (09:00 - 17:00).
2. SET UP AND DE-RIG TIME
2a. Included Hours - All set-up, de-rig and clean up must be completed within your booked hours. Please factor this into your schedule to avoid any additional charges. Overtime fees will apply unless exceptional circumstances have been agreed with us in advance and in writing.
2b. Overtime Rates - Overtime is charged per hour and will be added onto your invoice after the shoot. Rates vary depending on studio and the time of day:
• Studio 01: £205/ hour between the hours of (18:00 - 05:59) and £160/hour between the hours of (06:00 - 17:59)
• Studio 02: £235/hour per hour between the hours of (18:00 - 05:59) and £190/hour between the hours of (06:00 - 17:59)
• Studio 03: £295/hour between the hours of (18:00 - 05:59) and £250/hour between the hours of (06:00 - 17:59)
• Client Suite 01: £70/hour between the hours of (18:00 - 05:59) and £50/hour between the hours of (06:00 - 17:59)
• Client Suite 02: £70/hour between the hours of (18:00 - 05:59) and £50/hour between the hours of (06:00 - 17:59)
2C. Early Access - If you require access to the studio before your scheduled start time for any reason, this must be pre-arranged and may incur additional charges.
3. BOOKING CHANGES AND CANCELLATIONS
3a. Rebooking Fees
Where a client requests to move a confirmed booking to a new date, the following rebooking fees shall apply:
• More than 10 working days' notice: No charge.
• Between 5 and 10 working days' notice: 10% of the booking value.
• Between 72 hours and 5 working days' notice: 20% of the booking value.
• Less than 72 hours' notice: 30% of the booking value.
Any rebooking fee shall be payable in addition to the rescheduled booking.
3b. Cancellation Fees
Where a confirmed booking is cancelled, the following charges shall apply:
• More than 10 working days' notice: 25% of the booking value.
• Between 5 and 10 working days' notice: 50% of the booking value.
• Between 72 hours and 5 working days' notice: 75% of the booking value.
• Less than 72 hours' notice: 100% of the booking value.
Cancellation fees apply to the full booking value, including any agreed studio hire, client suites, equipment hire, crew, catering, production services and any other confirmed services booked through YOU STUDIO.
YOU STUDIO reserves the right to waive or reduce cancellation fees at its sole discretion.
4. PAYMENT
4a. Invoices & Due Dates - For new clients, full payment must be received and cleared no later than 24 hours before the booking start time. For returning clients with approved accounts, payment terms are 30 days from the date of the invoice issued.
4b. Billing Responsibility - Invoices will be issued to the company or individual who made the booking. Please ensure that billing details are correct at the time of the booking.
4c. Additional Charges - Any additional costs, such as overtime or production equipment, will be invoiced separately after the shoot date.
4d. Electricity Use - All bookings incur an additional electricity charge. Studio 1 - £55+ vat Studio 2 - £55 + vat Studio 3- £130 + vat
4e. Late Payment, Debt Recovery & Legal Action - All invoices must be paid in full by the stated due date.
YOU STUDIO reserves the right to charge interest on overdue invoices in accordance with the Late Payment of Commercial Debts (Interest) Act 1998, as amended, at a rate of 8% above the Bank of England base rate, together with any applicable statutory compensation.
In addition to statutory interest, the client shall be responsible for all reasonable costs incurred by YOU STUDIO in recovering overdue sums, including but not limited to debt collection agency fees, legal fees, court fees, tracing fees, enforcement costs and administrative expenses.
Where an invoice remains unpaid for more than 30 days after its due date, YOU STUDIO reserves the right to suspend future bookings, cancel existing bookings and withdraw any previously agreed credit terms until all outstanding balances have been settled in full.
Where an invoice remains unpaid for 60 days or more after its due date, YOU STUDIO reserves the right to commence legal proceedings without further notice to recover the outstanding debt, together with any accrued interest, compensation, recovery costs and legal expenses permitted by law.
The client shall indemnify YOU STUDIO against any costs incurred in enforcing payment obligations under these Terms and Conditions.
4f. Payment Methods - Payments can be made via bank transfer (BACS). Bank details will be provided on your invoice.
4g. Deposits - A deposit may be required to secure any event bookings, this will be deducted from your final invoice.
4h. All prices are exclusive of VAT unless otherwise stated. VAT will be added on to the final invoice.
4i. Review of Payment Terms - If a returning client with approved payment terms repeatedly pays invoices late, has outstanding invoices beyond the agreed payment period, or breaches any payment obligations under these Terms and Conditions, YOU STUDIO reserves the right to withdraw credit facilities with immediate effect.
In such circumstances, all future bookings shall be payable in full prior to access being granted to the premises. YOU STUDIO may also require a security deposit and reserves the right to refuse future bookings until a satisfactory payment history has been re-established.
5. CLEANLINESS & MAINTENANCE
The studio must be left clean, tidy and in the same condition and layout in which it was found. All furniture, equipment and props must be returned to their original positions, and studio rigs must be properly lowered and secured in accordance with house guidelines.
If the studio is not reset correctly — including (but not limited to) furniture being left out of place, equipment not stored correctly, or the rig not reinstated properly a reinstatement fee will apply. This charge is £300 for Studio 3 and £250 for Studio 1 and Studio 2 and will be added to your final invoice.
5b. Cleaning for Large Shoots & Events - For events or shoots with 50 or more people, we have a standard cleaning charge of £300+ depending on the time needed. The cleaning charge is based on leaving the space in a reasonable state and a higher rate is chargeable if the space is left particularly dirty. A security deposit may be required for larger bookings and any additional cleaning or damage charges will be deducted from this deposit unless otherwise agreed.
5c. Disposal of Props & Water - All large props, set builds, bulky items or unusual waste must be removed from the studio at the end of your booking. If you need any assistance with disposal, arrangements must be made with a member of the YOU STUDIO team before your booking ends. Items left behind without prior agreement may incur additional removal fees, especially where specialist disposal or skip hire is required.
5d. Clients are expected to maintain cleanliness both inside and outside the studio premises. All waste must be placed in the designated internal bins or external recycling and rubbish skips provided. Additional bin bags will be supplied where needed. It is the client’s responsibility to ensure that all litter is properly disposed of and that outdoor areas are left clean and free of waste.
6. USE OF EQUIPMENT
6a. Care & Return of Equipment
If your booking includes the use of lighting, camera, grip, AV or other equipment supplied through YOU STUDIO, all items must be returned promptly at the end of the hire period in the same condition in which they were supplied and stored correctly in their designated locations.
Clients are fully liable for the cost of repair or replacement of any lost, stolen, damaged or missing equipment. Equipment that is not correctly packed away or returned to its designated location may incur additional de-rig or reinstatement charges.
6b. Restrictions on Use
Equipment provided by YOU STUDIO may not be:
• Removed from the premises without prior written consent;
• Modified, altered or tampered with in any way;
• Used contrary to manufacturer guidance;
• Operated by unauthorised or untrained individuals.
Any misuse of equipment may result in additional charges and/or refusal of future bookings.
6c. Equipment Use at Client's Risk
All equipment is used entirely at the client's own risk. YOU STUDIO accepts no responsibility for any loss, damage or injury arising from the use or misuse of any equipment, facilities or amenities provided.
6d. Additional Equipment
Any equipment requested during a booking that is not included within the agreed studio hire fee shall be charged as an additional cost and added to the final invoice.
6e. Off Site Equipment & Insurance
Any lighting, grip, camera, AV equipment or other equipment supplied by YOU STUDIO and/or any third party supplier arranged by YOU STUDIO may not be removed from the premises without prior written approval.
Where permission is granted, the client shall remain fully responsible for the equipment from the time it leaves the premises until it has been returned and checked back in by YOU STUDIO.
The client must maintain adequate insurance covering the full replacement value of all equipment whilst it is off site and shall provide evidence of such insurance upon request.
The client shall be liable for any loss, theft, damage, destruction or unexplained disappearance of equipment, regardless of fault. Any uninsured losses, insurance excesses, supplier charges, repair costs, replacement costs, transportation costs or loss of hire charges shall be payable by the client.
6f. Third Party Equipment
Where equipment is supplied by a third party supplier arranged by YOU STUDIO, the client agrees to comply with any applicable hire conditions imposed by the supplier.
The client shall be responsible for all costs arising from loss, damage, late return, theft, misuse or breach of supplier terms relating to such equipment.
7. BREAKAGES, LOSSES, DAMAGES & INSURANCE
7a. Client Responsibility
Clients are fully responsible for any damage, loss or breakage to the studio premises, fixtures, fittings, furnishings, equipment or infrastructure caused by themselves or any member of their party during the booking period.
All associated repair, replacement, reinstatement and administration costs shall be payable by the client.
7b. Equipment & Facility Use
All equipment and facilities are used entirely at the client's own risk.
To the fullest extent permitted by law, YOU STUDIO accepts no liability for:
• Loss of or damage to client or third party property;
• Failure, breakdown or interruption of equipment, services or facilities;
• Consequential loss including loss of profit, production delays or loss of business opportunity.
7c. Studio Alterations
No alterations, modifications or additions may be made to the studio premises, fixtures or equipment without prior written approval from YOU STUDIO.
7d. Equipment Inspection
Clients are required to inspect all equipment upon receipt. Any faults or concerns must be reported immediately. If no notification is received, equipment shall be deemed to have been supplied in good condition.
7e. Environmental Factors
YOU STUDIO shall not be liable for disruption, damage or financial loss arising from weather conditions, nearby construction works, external noise or any other environmental factors outside its control.
Whilst every effort is made to provide suitable conditions for filming and photography, the studios are not soundproof and no guarantee is given regarding sound recording conditions.
7f. Personal Property
Clients are responsible for the security of all personal belongings, equipment and vehicles brought onto the premises.
YOU STUDIO accepts no liability for loss, theft or damage to personal property.
7g. Insurance
The client shall maintain adequate public liability insurance and, where applicable, employer's liability insurance together with insurance covering all equipment, crew, talent, contractors, vehicles and activities connected with the booking.
YOU STUDIO reserves the right to request evidence of such insurance prior to granting access to the premises.
7h. Contractors, Crew & Guests
The client is responsible for the acts and omissions of all employees, freelancers, contractors, suppliers, talent, guests and visitors attending in connection with the booking and shall ensure they comply with these Terms & Conditions.
7i. Vehicles & Car Lift
Any vehicle brought onto the premises, including into a studio, loading area, terrace or car lift, is brought entirely at the client's risk.
The client is responsible for ensuring all vehicles are appropriately insured, roadworthy and operated safely.
The client shall ensure that all vehicle dimensions, weight limits and loading requirements provided by YOU STUDIO are adhered to at all times.
Any damage caused to the premises, equipment, car lift or surrounding infrastructure by the client, their crew, contractors, suppliers, talent, guests or vehicles shall be charged to the client.
The client shall be fully liable for any damage, malfunction, breakdown, repair costs, engineer call out charges, loss of earnings, replacement costs or other expenses arising from misuse, negligence, overloading, improper operation or failure to follow instructions relating to the car lift.
Where operation of the car lift results in damage or the lift becoming inoperable, the client shall be responsible for all associated costs incurred by YOU STUDIO, including any loss of revenue resulting from cancelled or disrupted bookings.
7j. Set Builds, Painting & Alterations
No painting, drilling, fixing, sanding, spraying, rigging, construction work, set building or alteration to the premises may take place without prior written approval from YOU STUDIO.
Any costs associated with reinstatement, cleaning, repair or redecoration shall be payable by the client.
7k. Smoke, Haze & Special Effects
The use of smoke machines, haze, pyrotechnics, naked flames, confetti, glitter, artificial snow, powders, liquids, body oils or similar special effects must be approved in writing by YOU STUDIO prior to the booking.
Any cleaning, reinstatement, alarm call out, repair or damage costs arising from such use shall be payable by the client.
7l. Security Deposit
YOU STUDIO reserves the right to request a refundable security deposit prior to any booking.
The deposit may be applied towards unpaid invoices, overtime, excessive cleaning, waste removal, equipment loss, damage or any other costs arising from the booking.
8. MINORS
8a. All minors (under the age of 16) must be accompanied by a parent, legal guardian, or assigned chaperone at all times while on the studio premises and grounds. Written consent from a parent or legal guardian is required for any minor to be present for filming, photography, or related production activity.
It is the sole responsibility of the chaperone and/or production team to supervise minors throughout the duration of the booking. YOU STUDIO accepts no liability for the safety, welfare, or conduct of minors while on-site.
8b. Safeguarding Policy - For productions involving minors, we reserve the right to request proof of chaperone credentials, consent documentation, or a safeguarding policy in place. We may also request that a designated welfare officer be present on set for certain productions.
8c. Restricted Areas - Minors are not permitted in restricted or technical areas unless directly involved in production and accompanied by an authorised adult.
9. HEALTH AND SAFETY
9a. Clients and all attendees must comply with all health and safety guidelines while on the premises. This includes maintaining clear access to fire exits and adhering to any safety instructions provided by YOU STUDIO staff.
9b. Any accidents, injuries, or unsafe conditions must be reported immediately to a member of the YOU STUDIO team.
9c. The client is responsible for the conduct and safety of all individuals associated with their booking. Any negligence or failure to observe safety procedures may result in termination of the booking and potential liability for damages.
9d. Car Lift Safety
Only authorised persons may operate the car lift. YOU STUDIO reserves the right to refuse use of the car lift where operation may present a safety risk or exceed the lift's capacity.
10. SECURITY & ACCESS
10a. Clients are responsible for ensuring that only authorised personnel have access to the studio during their booking. No access should be granted to third parties not involved in the production without prior approval from YOU STUDIO. The main door will be managed by the team at YOU STUDIO however clients must ensure the door is closed behind them on entering the building.
10b. If keys, fobs, or access codes are issued for use during a booking, they must not be copied, shared or retained after the booking has ended. Failure to return access items may incur additional charges.
10c. Clients must ensure that no equipment or lighting is left in communal areas unless otherwise agreed.
10d. YOU STUDIO respects the confidential nature of client productions. Clients acknowledge that CCTV operates throughout communal areas of the premises for security purposes.
11. INTERNET USE
11a. Wi-Fi is provided as a courtesy for use during bookings. While we strive to provide reliable internet access, YOU STUDIO cannot guarantee uninterrupted service and shall not be held liable for any disruptions or data loss.
11b. Clients must not use the studio’s internet connection for any unlawful or inappropriate activity. Any misuse may result in suspension of access and possible termination of the booking.
12. FORCE MAJEURE
12a. YOU STUDIO shall not be liable for any failure or delay in performance of any part of its obligations due to circumstances beyond our reasonable control. This includes, but is not limited to, acts of God, natural disasters, war, fire, terrorism, labour disputes, pandemics, or government restrictions.
12b. In the event of a force majeure, we will work with clients to reschedule the booking where possible, but no refunds or compensation will be issued for cancellations or delays caused by such events.
13. ANIMALS ON SITE
13a. YOU STUDIO is a pet-friendly venue. Well-behaved pets are welcome, but we kindly ask that all animals are kept on a lead when moving through communal or shared areas of the building.
13b. Clients are fully responsible for the behaviour, welfare, and cleanliness of any animals brought onto the premises. Any damage, disruption, or mess caused will be charged to the client accordingly.
13c. Animals must be supervised at all times and are not permitted in restricted or technical areas unless explicitly required for the shoot and approved in advance.
14. NOISE AND NUISANCE
14a. Clients are required to respect our other clients in other studios and neighbouring businesses and residential areas.
14b. Music, playback or loudspeakers must be kept to a reasonable level.
15. WASTE MANAGEMENT & EXCESSIVE WASTE CHARGES
Clients are responsible for leaving the studio (including all communal areas, kitchen, bathrooms, green rooms and any outdoor spaces used) in a clean and tidy condition. All general waste must be placed in the bins provided and must not exceed normal, reasonable usage for a standard studio booking.
If the volume of waste generated during your booking exceeds the studio’s standard capacity, or if waste is left in a manner that requires additional collection or disposal, an Excessive Waste Charge of £35 + VAT per bin pickup will be applied. This fee applies will be added to your final invoice.
The studio reserves the right to determine what constitutes excessive waste based on the amount, type, or improper disposal of waste left following your booking.
15a. Any equipment, props, set builds, scenery, furniture or other items left at the premises without prior written agreement may be subject to storage charges. Items remaining uncollected after 14 days may be disposed of or removed at the client's expense.
16. TERMINATION
16a. YOU STUDIO reserves the right to cancel or terminate any booking, with immediate effect, if the client is found to be in breach of any of the terms and conditions outlined in this agreement.
16b. We also reserve the right to refuse or cancel a booking, at our discretion, if we believe the intended use of the space is unlawful, unsafe or may pose a risk to the studio, its staff or the wider community.
16c. In the event of a termination due to client breach, no refunds will be issued, and any outstanding fees for damages, additional services, or overtime will remain payable.
17. Applicable Law
17a. All bookings and agreements made with YOU STUDIO are governed by and shall be interpreted in accordance with the laws of England and Wales. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
17b. Should any provision of these terms be deemed unenforceable or invalid under law, the remaining provisions shall remain in full force and effect.
17c. To the fullest extent permitted by law, YOU STUDIO's total liability arising from any booking shall not exceed the fees paid by the client for that booking. YOU STUDIO shall not be liable for any indirect or consequential loss, including loss of profit, loss of business, production delays, reputational damage or third party claims.
17d. The client shall indemnify YOU STUDIO for all reasonable costs incurred in recovering overdue sums, including legal fees, debt recovery fees, collection agency charges, court fees and associated administrative costs.
18. AGREEMENT TO TERMS AND CONDITIONS.
18a. By confirming a booking via email or telephone and upon written confirmation of the booking date in our diary/ on email clients acknowledge and agree to abide by all terms and conditions outlined in this document.
18b. It is the responsibility of the client to review these terms in full prior to confirming their booking. A link to the most up-to-date version of our terms and conditions is available on our website to review.
